A single-branch pharmacy in Accra
The setup
Two tills, six staff, roughly GHS 90,000 across the counter each month. Stock counted by hand on Sunday evenings. Regulars take goods on credit, written in a notebook behind the counter.
Where the money goes
If shrinkage runs at 5%, a common figure for counter retail, that is GHS 4,500 a month leaving the shop unrecorded. The Sunday count takes four hours and still does not reconcile. Nobody can say what the credit book is owed, only that it is “plenty”.

What does it cost to start?
GHS 2,000 for one branch: the one-time setup fee of GHS 1,000 and your first year at GHS 1,000, paid together before you start. After that it is GHS 1,000 a year, plus GHS 200 a year for each additional branch. Prices are before VAT and any other levy the law adds, which are paid on top where they apply.
Is there a free trial?
No. A business pays the setup fee and its first year before it uses QuadERP. The way to try it is the live demo: a fully stocked demo store you can use without an account, an email or anything to install. Fees, the setup fee included, are not refundable unless the law requires it or we fail to fix a material failure on our side, so we would rather you spend an evening in the demo than take our word for it.
Do I need to buy a POS machine or any special hardware?
No. QuadERP runs in a browser on the phone, tablet or laptop you already have. If you want a barcode scanner later, our scanner app turns a phone into one.
How do additional branches work?
Each branch after the first is GHS 200 a year. You pay the full GHS 200 when you add the branch, however much of your year is left, and it is then part of every renewal. There is no plan to move up to: every feature is already included, whether you run one branch or several.
What happens at the end of the year?
Nothing is charged automatically. You renew by paying for the next year when you choose, and paying early adds the new year onto the end of the current one, so no time you have paid for is lost. If you do not renew, the account narrows to sign-in, billing and data export until you do.
What happens to my data if I stop paying?
It stays yours, and nothing is deleted. The export is in the app and works at any time, including after you stop renewing, so you can download your business data yourself without asking us. We do not hold your business records hostage to a subscription.
Can I take Mobile Money through it?
QuadERP records the payment, it does not take it. Cash, card and Mobile Money are each recorded against the sale, so the day's takings break down by method when you close the till, but the customer still pays on your own MoMo number or bank terminal. One sale carries one method today, so someone paying half cash and half MoMo goes through as two sales.
We are a large chain or a distribution business. Is there a different price?
No. It is the same plan at the same price: GHS 1,000 a year with one branch, and GHS 200 a year for each branch after that. If you would rather talk it through before you pay, use the form below or message us on WhatsApp.
Why a yearly fee instead of buying it once?
The fee is not for the software so much as for keeping it running: the hosting, the updates, and a person on WhatsApp in your own timezone who usually answers the same day. Software you buy once and host yourself can genuinely come out cheaper, and if you have someone who can keep a server running and restore it when it falls over, it may be the better buy. Most shops do not have that person, and the cost of not having them shows up as a day of not selling rather than as a line on an invoice. What we will not do is make leaving hard: nothing is charged automatically, and you can export your data whenever you like, renewed or not.
Does it handle VAT and GRA e-invoicing?
It calculates tax. Switch it on in settings and every sale carries the rate, the label and the amount, priced inclusive of the marked price by default, because that is how shelves are marked here. It does not file a return and it does not do the GRA's e-VAT clearance. For most shops that does not bite: since January 2026 a supplier of goods registers for VAT only above GHS 750,000 of taxable supplies a year, and below that line e-invoicing is not a requirement you have. Service providers register at any turnover. Check where you sit with your accountant rather than with us, and if you need e-invoicing today, we do not have it.
